Managing credentials

To check the status of issued credentials and send reminders, go to Digital credentials → Issued credentials.

What do credential statuses mean?

Status Meaning
Accepted The earner received the credential in their email and accepted the recognition.
Pending The earner received the credential in their email, but hasn’t accepted it yet.
Versioned This credential was already replaced by a newer version: someone edited its information after the earner had accepted it, and since an accepted credential can’t be modified directly, the system created a new credential (V2, V3…) and marked this one as versioned. Revoked The credential was revoked.
Failed The earner didn’t receive the credential in their email.
Expired The expiration date configured on the credential has already passed. See the detail below.

Why can a credential fail?

  1. The email entered doesn’t exist or was typed incorrectly.
  2. The earner’s inbox is full and can’t receive any more emails.
  3. The credential was already issued to that email previously.

To find out the specific reason, click the history icon next to the issued credential’s status — you’ll find the status description in the notification history there.

Can a failed credential be recovered? Yes. If the earner opens the acceptance link through another channel (for example, you resend it to them manually) after a delivery failure, the platform automatically moves it back to “pending” — you don’t need to reissue it from scratch.

Can I issue without an email notification going out? Yes, there’s a silent issuance option (individual, bulk, or when updating a credential) for when your organization handles announcing the achievement through another channel — see Silent issuance.

What does it mean for a credential to be “Expired”?

Only credentials that have an expiration date configured (see the {{expiration_at}} field in Certificate design) can reach this status.

  • It’s automatic. When the expiration date is reached, the platform changes the status to Expired on its own — you don’t need to do anything. This only happens if the credential was in Accepted or Pending status; a credential that’s already revoked or failed doesn’t move to expired.
  • The earner gets a notice (by email or WhatsApp, depending on what they have set up) informing them that their credential expired — this is a separate process from the issuance email.
  • It doesn’t free up your license quota. The quota is used up at the moment the credential is issued; it expiring later doesn’t give it back to you.
  • Earner’s view: both the credential’s public page and the verification modal show an “Expired on: DD-MM-YYYY” notice instead of the normal acceptance view.

Can I correct or renew an expired credential? It isn’t edited on the same record — just like an Accepted credential, an Expired one is already immutable. Use that row’s update icon to issue a new version (with whatever expiration date you need); the original credential stays linked to that new version, and anyone who opens the original link sees a notice to switch to the most recent version. How do I filter for only expired credentials? Type status:expired into the Issued credentials search bar — the Filter button stays in sync with this same search (more detail in the advanced-search article, pending).

Tracking bulk issuances (by batch)

The All issuances tab you saw above shows each individual credential. If you want to see the status of each complete bulk upload (for example, to confirm a scheduled issuance went out on time), click the Batch issuances tab, next to “All issuances”.

There, each row is a batch (a file upload), not an individual credential, with its own status:

Batch status Meaning
Scheduled The batch is set to go out at the scheduled date and time — see Scheduling issuances. Nothing has been sent yet.
In review The batch went through an approval flow and is waiting for reviewers and/or approvers to complete their part — see Approval flow design and administration.
Sent The batch was already processed and the credentials were sent.
Failed The batch couldn’t be processed.
Revoked The batch was revoked.

The Sent column shows how many credentials in the batch have already been sent out of the total (for example, 8 / 8).

Under Actions you’ll find the eye icon to View detail of the batch in any status, and for batches in Scheduled status, an additional icon to Cancel schedule.
